Introduction:

We appreciate that your privacy is important to you. Auswest seeds will continue to protect the personal information that you entrust to us.

We believe an individual's right to keep their personal information private is highly important. Therefore we are committed to protecting and maintaining the privacy, accuracy and security of your personal information given to us.

Our compliance objectives are to:

  • Aim to prevent, identify and respond to breaches of applicable laws, regulations and standards;
  • Promote a culture of compliance within the organisation; and
  • Assist the organisation remaining a good corporate citizen.

Privacy & Privacy Principles:

As we are committed to protecting your personal information we agree to comply with the National Privacy Principles (NPPs) set out in the Federal Privacy Act and administered by the Federal Privacy Commissioner.

The NPPs regulate the way that organisations can collect, use, keep, secure and disclose personal information. It also gives individuals the right to know what information an organisation holds about them and a right to correct that information if it is wrong.

NPPs in Operation:

The following details relate to each of the NPPs:

1) Collection of Information.

We will only collect information relevant to our business relationship with you. Such information we collect will include your name, contact details, personal details and information about your use of our products and services.
The information will be collected in a fair and lawful way and generally with your consent.


2) Use of Information.

We will not use your personal information for a secondary purpose (ie. a purpose other than the one for which it was collected) without the individual?s consent.
Use is to be limited to:

  • Recommending to you or providing you with products and services that you may need.
  • Carrying out our business which includes account management, planning product development, research and analysis.
  • Fulfilling our legal requirements (eg. Disclosure to law enforcement agencies or the courts).


We may use your information to offer you products and services that we believe meet your needs. However, you can notify us at any time if you do not wish to receive these offers. We will act promptly on any such request which can be made using our contact details referred to at the end of this policy.

We will not share, sell or trade your personal information to anyone not involved in our business.

We will take reasonable steps to ensure that the personal information collected, used or disclosed is accurate, complete and up-to-date.

We will take reasonable steps to protect personal information from unuthorised access and use. We will destroy or permanently de-identify personal information when it is no longer required.

We are prepared to make available our privacy policies for the management of personal information. If requested, we will disclose in general terms what sort of personal information we hold, for what purpose and how we collect, hold, use and disclose such information.

You can access most of the personal information we hold about you and request corrections. This right is subject to some exceptions eg. You may not obtain access to information relating to existing or anticipated legal proceedings.

We will not use Government identifiers, ie. Medicare or Tax File Numbers, as our own identifiers for individuals, other issues, health etc.

Wherever it is lawful and practicable, individuals have the option of remaining anonymous whenentering into transactions. However, in doing so, this may severely restrict our business dealings.

Generally, consent is required to transfer personal information outside Australia. We will not undertake transfer of information without consent.

With some exceptions, we will not collect sensitive information (information on an individual?s race or ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, membership of a professional or trade association, membership of a trade union, sexual preferences or practices, criminal record, or health information).

Use of E-mail & Internet:

We have a responsibility to ensure that our e-mail and internet resources are not used for harassing people or for other unlawful activities. Our policy on e-mail and internet use at work sets out specific procedures.

Use of our computer systems to send and receive e-mails and/or browse the internet may be monitored. Such use is only intended for authorised purposes.

Our e-mail / internet policy sets out how we collect, inspect, review and discuss personal information created by employees using our systems.

E-mails and files stored on computer systems are not always private. Certain people are authorised (within reason for specific purposes) to review the use of these facilities and that may require reading e-mails or looking at logs of internet use.


Privacy Concerning Employee Records:

Personal information about employment will generally be warranted providing that what information is kept / maintained relates directly to the employment relationship. Such information will be kept secure and only accessed by authorised personnel in the business for legitimate reasons.

In the case of employee recruitment we may only check nominated references with the consent of the applicant. We are also prohibited from enquiring about an employee?s or applicant?s prior criminal offences unless specfically consented to by the employee or applicant.

Specific Issues:

What personal information we collect:
Where deemed necessary for the conduct of mutual business we collect such information as names, addresses, occupations, contact details, bank details and any other information consented to.

Storage of information:

All information is stored on our data base electronically and in hard copy. This information is always kept confidential between the individual and the business.

What we do with the information:

The individual personal information which we collect and hold enables us to conduct mutual business. Trading accounts are conducted for our customers as are databases for mail and marketing purposes. We do not hold sensitive information on our customers

Employees:

Appropriate employee records are maintained which contain certain personal information including Tax File Numbers and some health records. Such information is held purely for personnel records and is kept in a secure environment with no unauthorised access.

Video / audio surveylance:

This type of surveylance is generally prohibited unless consented to be the individuals.
